Checklist for Ph.D. Degree

 

ALL DEGREE MATERIALS #1-7 ARE DUE BEFORE THE DEADLINES LISTED BELOW. 

 DO NOT WAIT UNTIL THE DEADLINE.

SUBMIT ALL MATERIALS AS SOON AS YOU ARE FINISHED!

 

PLEASE READ: Given current extraordinary circumstances, the School of Graduate Studies will permit remote defenses for candidates and their committee members. Digital signatures of your committee must be verifiable. This includes (but not limited to) e-signatures such as docusign or adobe sign. In lieu of a verifiable digital signature, a committee member can type their name and then provide a written email/letter attesting their approval as an appendix to the students candidacy form. All apendices are to be included in the student's submission email.

Deadlines

  • October 1, 2020, for an October-dated degree
  • January 2021 TBA
  • May 2021 TBA

You are not eligible to receive your degree until the following requirements have been completed and returned to the remote defense email address. 

How to submit your checklist materials:

You must send ALL of your requirements together in one email before the deadline. 

You must send your attachements in PDF format.

Email only when you have all of the required materials completed.

Please DO NOT send multiple emails with pieces of the checklist.

CHECKLIST FOR DOCTORAL STUDENTS TO BE COMPLETED AND RETURNED IN ONE EMAIL SUBMISSION:

1) Diploma Application

Complete the Diploma Application online .  Save and return your email confirmation/diploma confirmation as a PDF that shows you submitted a diploma application online.  

2) CandidacyForm

Fill out a final defense form found here

After a successful defense, save and return your completed final defense form along with one original title page signed by your committee in PDF format. (It can be one combined PDF or seperate)

  • Committee members and program director must sign page two.
  • Both course and research credits must be listed on page three.

Style Guide for Dissertation Preparation

The guide contains information regarding style, format, margins, footnotes, etc. and should be followed explicitly.

3) Publishing Agreement 

Complete the Proquest Publishing Agreement form online

Once completed, click on "Manage this ETD"> "View ETD Details"> "Print your Details Page".  Save and Return your "ETD DETAILS" page as a PDF.

 

*Please note: If requesting delayed release/access in the Proquest Publishing Agreement ( #3 on this checklist), you must also request an embargo in the submission to the libraries' RUetd system (#7 on this checklist). The value for each request MUST be the same or your request will be void.

4) Survey of Earned Doctorates

Complete the Survey of Earned Doctorates online

Save and return the Certificate of Completion as a PDF. This is found at the end of the survey.

5) Ph.D. Exit Survey

Complete the Ph.D. Exit Survey 

Save and return the "Verification Sheet" as a PDF.

6) Degree Candidate Responsibility Statement

Complete the form.  Save it as a PDF and return along with the rest of your requirements. 

7) Submit Your Dissertation

Submit your dissertation online to the Rutgers Electronic Theses and Dissertation system

Final electronic submissions will only be reviewed after all above forms are completed and returned in one email to sgs.degree.submissions@grad.rutgers.edu. Your dissertation must be submitted and approved in by our office in order to graduate.
